Setting up Tablez takes about 10 minutes and you only do it once. In this guide I'll walk you through every setup page in order so your booking page works the way your venue really works. Start with opening hours. For each day add your service periods like lunch from 12 till 3 and dinner from 6 till half past 9. Tick closed for any day you don't open. Then set the last booking time, 60 minutes means the last dinner booking is half past 8, if dinner ends at half 9. Add special closures too like bank holidays or private hire and customers will see those days as closed. Next, tables. Group tables of the same size together, for example four two-seaters and six four-seaters. give special ones their own name like the snug. Tablez always picks the smallest table that fits and that's what stops over booking. Underneath you can let it join two tables for big parties, set the smallest and largest party that can book online and add pacing so only so many people sit down in any 15 minutes and the kitchen isn't slammed. Turn times are how long each booking holds its table, for example 90 minutes for up to four people and two hours for bigger groups. Leave the last up to box empty to cover everything bigger. Under booking rules choose how bookings are accepted, instant, staff approve or live check. Then the timing rules, how far ahead people can book, the minimum notice, slots every 15 or 30 minutes and how close to the booking they can still cancel online. Notifications is who hears about new bookings, add the email addresses and on standard push alerts go to the staff app. You can also have the day's table list emailed to you before each service as a backup in case the internet ever goes down. sending is easiest left on the recommended setting. E-mails come from us with your venue's name on them and replies go straight to you. Or, on standard, send them from your own e-mail address. Finally, booking page. Look. Add your logo, pick your colour and write a short welcome. You can ask customers about allergies and special requests and choose the language. share your link and you're taking bookings.

Instant confirms a booking straight away if a table is free. Staff approve turns each booking into a request and your team says yes or no. Live check makes the customer wait a few minutes while staff get an alert. For live check, choose how long the customer waits, up to five minutes. Then, choose what happens if nobody replies. Either keep it as a request or decline politely. It can switch on while a staff member is logged into the staff app, or between set times each day. Next, timing. Set how many days ahead people can book. Set the minimum notice in minutes, so nobody books a table for 10 minutes time. Choose time slots every 15 or 30 minutes, then pick how late customers can cancel online. After that, they have to ring you. Keep the waitlist on, and guests can leave their details when a day is full. They get an email if a booking is cancelled. Press Save Changes. Party sizes live in your table settings. Set the smallest and largest party that can book online. Bigger groups are asked to ring you. You can also cap the covers for each service and limit how many people arrive every 15 minutes so the kitchen is not swamped. That's your booking rules. A floor plan isn't just a nice picture. Done right, it tells your whole team who's sat where, who's due next, and which table can take a walk in right now. In the next couple of minutes, I'll show you how to set one up in Tablez and how to use it on a busy night. Open Edit Floor Plan. Press Add Several. Choose how many tables, how many seats and the shape. Round, square, rectangle or booth. They all appear at once. Then add the room itself. The bar, doors, windows, a fireplace, the toilets. They're just drawings so they're never booked. Now drag everything to where it really is and pull the corner to resize. Then press save layout. Online bookings go straight onto a table for you, using your fill order, then the smallest table that fits. that fits and if you like you can let customers pick their own table on the booking page. A table is only free again once the last booking has finished. Here is how Tablez decides that and how big parties fit. Go to settings, then turn times. Turn time is how long a booking holds a table by party size. For example, 90 minutes for a couple, 2 hours for 4, and longer for bigger groups. Leave the last up to box blank to cover everything bigger. Under tables, group identical tables together, like four-seaters times ten. Add a named table, like the snug, as a group of one. Online bookings go on the smallest table that fits. Further down, tick Allow Combining Two Tables, so a party of ten can use a six and a four. Set the largest party online, and anyone bigger is asked to ring you. You can also cap covers and pace arrivals every fifteen minutes. On the floor plan, click a table to set its seats. Give it a fill order where one fills first. You can also set a minimum party, a time limit of its own and split a big place into areas like the main room and the garden. On the live floor plan, tap a booked table and choose join with to put two tables together for a big party. Press split tables when they are done. Two small things that make a big difference a wait list So a full night doesn't mean turning people away for good and guest notes. So your whole team remembers your regulars Here's how both work in Tablez First the wait list under booking rules tick offer a wait list when a day or time is full Now when a customer tries to book in your full they can join the wait list instead with their name number party size, and the time they'd like. Someone rings or walks in, open waitlist, press, add a walk-in to the waitlist, put in their name, party and mobile, and press add. When a booking is cancelled or declined, or you free a table on the floor plan, everyone waiting that day is told a table may have come free. by email and by text if you've switched waitlist texts on. Nothing is booked automatically. It's first come, first served, and when your walk-in comes back, seat them straight from the floor plan. Now guest notes, open guests, and you'll see everyone who's ever booked with how many times they've booked, turned up, cancelled, or not shown. Regulars are marked after three visits. Filter by regulars, people you haven't seen in 90 days, no shows or anyone with notes and you can download the whole list as a spreadsheet. Open a guest and you'll see their history, their usual party size and every visit. Then write notes for your team. Like's the window side, her husband needs gluten free, birthday in March, press save notes. Those notes now appear on every booking they make so whoever's on shift knows before they even walk in. Bookings attack too, regular and new customer are added for you and allergies, birthdays, anniversaries and high chairs are picked up from what the customer writes so nothing gets missed. The waitlist and guest profiles both come with standard at £9.99 a month with no fee per diner.

Who took that booking? If you've ever asked that across a busy restaurant, this one's for you. In the next couple of minutes, I'll show you how the Tablez staff app puts every booking on every phone, how your team gets an alert the second someone books, and how Live Check lets you say yes while the customer waits. First, give your team their own logins. In your dashboard, open staff logins. Type a name, an email and a temporary password and press Add staff member. They'll be asked to change the password the first time they log in. If someone's a manager, tick extra access for events and menus, venue settings or reports. Billing and staff logins always stay with you, the owner. The free plan includes you plus one staff login. Standard at £9.99 a month gives you as many as you like. Next, your team opens the staff app on their phone, at tablez.uk/staff. On Android, Chrome offers to install it. On an iPhone, open it in Safari, tap share, then add to home screen. It then opens like a normal app, with no app store needed. The staff app shows today's bookings in time order, with the covers booked, the table and the things that matter. A new customer, a regular, a birthday, an allergy in red so nobody misses it. When people turn up, tap arrived. If they don't, tap no show. You can flick to other days, add a phone booking and see who's on the wait list. Now the alerts. On standard and above tap enable notifications and each phone gets a push alert for every new booking or request, even when the app is closed. On the free plan you still get an email and the app beeps while it's open. Then choose how bookings are accepted under booking rules. Instant means if a table's free the booking is confirmed straight away. Staff approved means each Each booking comes in as a request, and your team accepts or declines it, and live check is the clever one. With live check, the customer waits on the page with a short countdown, usually three minutes while your staff get an alert. Tap accept, and the customer sees their table is booked right there and then. If nobody answers in time, it simply becomes a request, and the customer is told you'll email them shortly. It switches itself on while someone's logged in to the staff app so nobody is left waiting when you're closed. If you can't fit them in tap decline, pick a reason like fully booked and add a message if you like the customer gets a polite email straight away.

No shows hurt, most of all with big groups. Here is how to take a card deposit or a card hold when someone books. Go to Settings, then Deposits. This is on the Pro plan. Under What to take, choose a deposit which is charged now or a card hold. Set the amount ahead. Ten pounds ahead for a party of six is sixty pounds. Choose the smallest party that has to pay, so small bookings stay free. You can also pick certain days only. Payments go through your own Stripe account, so the money goes straight to you. Paste your keys from Stripe here and press Save. The Test Stripe Connection button checks they work. A deposit is charged when they book, and you can refund it. A card hold takes nothing up front. It only reserves the money on their card. For holds, you choose how many hours before the booking they can cancel and have it released. When a guest books a party that qualifies, they are sent to pay securely with Stripe. Open the booking in your dashboard to see the payment. If it is a hold, you can charge it for a no-show or release it. A deposit can be refunded here too. That is Card Deposits. They are part of the Pro Plan on Tablez. Start free at tablez.co.uk

Got a quiz night? A Sunday roast? Or a Christmas party? Here's how to set up an event people can book and a set menu to go with it. Events and set menus are on the pro plan. Open Events and Menus. Start with the set menu. Give it a name and a price ahead if you want one. Then add the courses. Type one line for each course with a bar between the dishes. Press Save Menu. Just above, you can ask big parties to pre-order from a set menu. Tick the box and say how many people count as a big party. They get a link in their confirmation email and the kitchen sees the totals. Now add the event. Give it a name, a date and start and end times. Set how many covers it holds, a price ahead if it's ticketed and a short description. Then pick your set menu from the list. There is also a deposit ahead. That needs deposits set up first with your own Stripe account. Guests then pay it when they book and it overrides your usual deposit settings. Keep show on the booking page ticked so guests can see it. For a private night, also tick close normal table bookings so people can only book the event. Leave that unticked for a Sunday roast. Press save event and it's live. That's your event! It fills up separately from normal tables and you can see its bookings from the list. Start free at tablez.co.uk

Christmas is the month that pays for January. It's also the month of the 12-person office party, the three set menu choices, the deposit nobody paid, and the table of 10 that turns up as 6. In this video, I'll show you how to set up Christmas bookings properly now so December runs itself. First, timing. Office parties are usually booked in October and early November, and the best Friday and Saturday nights go first so get your festive menu, prices and booking link out by the middle of October leave it until late November and the big groups have already gone somewhere else second, set Christmas up as an event not ordinary tables give it a name like Christmas party nights, your dates and times, how many covers you can take and a price per head. On the busiest nights you can close normal table bookings so the party menu takes over the whole place. Third, pre-orders. The kitchen needs to know it's 14 turkeys and 6 salmon before the night, not at 8 o'clock. Attach your festive set menu and big groups get a link to choose their dishes online before they arrive. The kitchen screen shows the totals. No more chasing the organiser for a list on a napkin. Fourth, deposits. A no-show table of 12 on a December Saturday is a few hundred pounds you won't get back. For bigger groups, take a deposit when they book, or a card hold when nothing is charged unless they don't turn up. With Tablez Pro, the money goes straight into your own Stripe account. Protect your kitchen. set a maximum number of covers per sitting and a cap every 15 minutes so 40 people don't all sit down at half seven. On the busiest nights two sittings often take more money than one long one. Sixth, cut no-shows. The simplest fix is a reminder the day before with an easy link to cancel or change. Most no-shows are people who forgot or felt awkward about ringing to cancel. Make cancelling easier than not turning up, and the table goes straight back on sale. Table sends reminders automatically on every plan, even the free one. Seventh, get your team ready. Make sure every member of staff can see the bookings on their phone so whoever answers a question at the bar knows who's coming, how many, and what they've ordered. On the busiest nights, a text reminder a few hours before can catch the last few stragglers. Text credits are paid as you go on the paid plans and don't forget to tell people. Put your Christmas booking link on your Google business profile, pin it on Instagram and Facebook, add it to your website and pop a QR code poster on the bar and in the window. Every regular who sees it in October is a party book by november finally decide now about christmas day and new year's eve are you open how many sittings what if you're closed block the dates so nobody books them by mistake

Gift vouchers are a great earner for pubs and restaurants, especially at Christmas. With Tablez Pro, you can sell them right from your booking page. In Gift Vouchers, open the settings, pick your amounts, whether people can choose their own and how long they last. Then add your Stripe key or your PayPal keys, the money goes straight to you. We never touch it and we don't take a cut. Your customers see a gift vouchers link on your booking page. They pick an amount, add a name and a message, and choose whether it's emailed to them or straight to the lucky person. They pay by card or PayPal, and the voucher arrives by email straight away with a code and a page they can print. When someone pays with one, type the code into gift vouchers or scan the QR code with your phone. Take off the whole amount or just part of it. Whatever's left stays on the voucher for next time. You can see what you've sold and what's still to be spent and if you sell one over the bar, add it here too so it gets a code like the rest.

Want to email your guests an offer without breaking the rules? In the UK, you need their permission first. Tablez takes care of that. Every booking page has a tick box. Email me news and offers from your venue. It is not ticked for them, so the guest has to choose to join. Open mailing list. You can see how many guests have said yes, how many joined lately, and who still needs to confirm. Many confirmed guests are emailed, and anyone who unsubscribes is left out. To write an offer, add a subject and then the email itself. Leave a blank line between paragraphs and add a button, like book a table. Press save and preview. Check how it looks on a phone and send yourself a test. When you're happy, press send. It goes to confirmed guests only, and every email gets an unsubscribe link automatically. Each email sent uses one credit. You start with a hundred free. After that, a thousand emails is £4.99, five thousand is £19.99 and twenty thousand is £59.99. They never expire. Every table's booking page has a small, powered-by line and Tablez can pay you back for spreading the word. Here is how both work. Scroll to the bottom of your booking page and you will see a small, powered-by Tablez link. It is on every plan and it cannot be removed. Your booking emails carry the same line at the bottom. You will also find a note about it on the booking link and embed page. Now the good part. Open, recommend a friend. This is your own link. A deposit turns we might come into we are coming. Here is how to use deposits and card holds well. Go to Settings, then Deposits. It is on the Pro plan. A deposit takes money when they book. A card hold takes nothing unless they do not turn up. Deposits suit events and Christmas. Holds feel friendlier on busy nights. Ask for bigger bookings, not every one. Set the smallest party that pays, and pick days like Friday and Saturday. Five to £10 a head is usual. Small bookings stay free. Payments go through your own Stripe account, so the money goes straight to your bank. Tablez takes nothing. Copy your keys from Stripe, paste them in, and press Save. Then make a test booking to see what guests see. Set a clear cancellation window, like forty eight hours, and put it in your booking terms. Welcome to the team. This is your first day on Tablez, from logging in to what you can do. Your owner gives you an email and a temporary password. Go to the login page, and sign in. The first time, Tablez asks you to choose your own password. Make it at least eight characters, and press Save. Then open Today. It shows every booking for today, with the time, name, party size, status and any notes or allergies. You can look up bookings, add or change them, and mark guests arrived. You can use the floor plan, and take gift vouchers, if your venue has them. Plans, billing, staff logins, deposits, texts and the mailing list stay with the owner. A small padlock in the menu means your venue's plan does not include that page yet. If something is missing, just ask your owner. That is your first day. Everything you do is recorded against your name, so keep your password to yourself.

Phone bookings are still a big part of the week. If they are not in Tablez, the online diary says you are free when you are not. Here is how to take one. On Today, press Add booking. Ask what day and time, how many people, and for a name and mobile number. Type them in. Ask about allergies, or anything special like a birthday. Put it under Requests, and allergies under Allergies, so the kitchen sees them in red. Leave Taken by on Phone, and leave the confirmation email ticked if they gave an email. Press Add booking. Tablez finds a table, and shows a message with the booking reference. Read the details back to the guest, and give them the reference. If Tablez says there is no table, offer a nearby time first. Ticking guests off as they arrive keeps your records right, and it only takes a tap. Here is how. On Today, find the booking and press Open. When the guests walk in, press Mark arrived. The booking is marked as arrived, and it helps the owner see who really turns up. You can also do it from the floor plan. Tap the table, and press Seat them. Then it shows as seated for everyone on shift. If a guest does not turn up, wait a sensible time. Many venues give fifteen minutes, but ask your manager what yours does. Try ringing them first, using the Call button. If you cannot reach them, press No show. Be careful with card holds. If a booking has Charge and Release card hold buttons, pressing No show charges their card straight away. Check with a manager first. You can see a deposit or hold under Payment in the booking details. Open the booking and press Back to confirmed. That puts the status back, but it does not give back a card charge. A manager or the owner needs to refund that. That is arrived and no show in Tablez.

The guest is emailed about the change, if you have their address. If they cannot come, open the booking, press Cancel booking, and confirm. The guest is emailed, and the table is freed. A guest says your booking page is full, but you can see empty tables. Here are the four places to look. First, Settings, then Booking rules. Check Minimum notice, and How far ahead people can book. If someone tries to book for tonight and you ask for two hours notice, it will look full. Next, Settings, then Tablez. Look at the Largest party online, the Max covers per service, and Pacing. A busy slot can be full because of a cap, even when tables are free. Then Settings, then Opening hours. Check the last booking time, and the special closures. A closure shuts the whole day. Last, open the Day view. If every table that fits that party is already booked at that time, then the page is right. It really is full. Guests can join the waitlist instead. That is why a time shows as full in Tablez. Check these four, and you will find it.

A cancellation policy isn't there to catch people out. It's so everyone knows the rules before the night. Here's how to set a fair one in Tablez. First, decide your cut-off. Say twenty four hours for dinner. Open Booking rules, choose Customers can cancel online up to, and press Save. After that, the cancel link stops working and guests are asked to ring. Next, go to Booking page look and write your policy in Booking terms. Keep it short and plain, and only say what you'll really do. Guests tick to agree when they book. This isn't legal advice, so check any charges with your own adviser. On Pro, open Deposits and set release if they cancel at least hours before, to match your policy. Still running on a paper diary and the phone? You can switch to Tablez in a weekend, and you do not have to bin the diary on day one. First, set your opening hours, then your tables. Group identical tables together, like two seaters, times five. Name special ones, like The Snug, on their own. Open Bookings and press Add booking. Copy in the bookings from your diary. You only need a name, date, time, party size and a phone number. Set Taken by to Phone. These bookings take up tables, so nobody can book the same table online. On the Free plan they count towards your monthly limit, so just copy in the next few weeks. Coming from another booking system? Use Import bookings and upload the file it exports. Nobody gets an email or a text from an import, and imports do not count towards your limit. Then share your booking link on your website, Facebook, Instagram and Google. Print the QR poster too. Keep the paper diary for a week or two as a backup. When the day view is the one you trust, retire the diary. The Free plan covers up to 60 bookings a month. Start free at tablez.co.uk.

Every booking system looks good in a demo. The useful part is the questions you ask first. Ask what you will pay in your busiest month, not the headline price. Ask if there is a fee per cover or per booking, and what happens when you hit a limit. Ask how long the contract is, and how to cancel. Ask who owns your guest list, and whether you can export it and take your bookings with you. Ask how deposits work, and whether the money goes straight to your bank. Then ask how long set up takes, and if it works on your staff's phones. Get the answers in writing, and try it free first. Use the same questions on us. Start free at tablez.co.uk.

A paper diary has served pubs for decades. Here is a fair comparison with Tablez. A diary is free, never needs charging, and works without wifi. Everyone knows how to use it, and it is quick to scribble in during a phone call. But people can only book when someone answers the phone. There are no reminders, and the owner on holiday cannot see it. Crossings out can lead to double bookings. Tablez adds a booking page that works round the clock, with a link and a QR poster. Confirmations and a reminder go out by email on every plan. Staff can still type in phone bookings. Run both side by side to start. The Free plan covers 60 bookings a month. Press Save changes, then open your booking link to check it. It's one accent colour, not a full colour scheme, and a small Powered by Tablez line stays at the bottom. Logo and colour are free on every plan. Start free at tablez.co.uk.

Need a second manager? Give them their own login, so you never share your password. Here's how. You need to be the owner. Click Staff logins under Account. Only the owner can add logins, and there's only one owner. Under Add a staff login, type their name, their email, and a temporary password of at least eight characters. Under Extra access, tick what they need. Events and menus. Venue settings. Reports and exports. Plan and billing, Stripe, API keys, text credits and your mailing list always stay with you. Press Add staff member. They show as Manager. Then give them the password and the staff app address. They choose a new password the first time they log in. You can untick a box and press Save access any time, or press Remove login to stop them signing in. The Free plan includes you plus one staff login. Standard and Pro have unlimited logins. Not getting your booking emails? It's usually one of a few things. Let's check. Open Notifications under Booking page. Check Notification emails for typos, and add more addresses with commas. Make sure Email us for every booking is ticked, then press Save changes. Then look in your junk folder, and mark Tablez emails as not spam. Now open Email sending. If you chose your own address, check the SMTP details and press the test button, because wrong details mean emails fail. Or switch back to sending through Tablez, which needs no set up. Requests that need your approval always email you. Bookings you add by hand don't, because you already know about them. Open Bookings to check the booking arrived. Still stuck? Open Help in the left menu and send us a ticket with the booking reference. We can see whether an email went out. On Standard and above, the staff app can also send push alerts to every phone. Start free at tablez.co.uk.

Guest says they never got a text? Don't panic. Emails always go out as normal, so it's usually one of a few simple things. Let's check them in order. First, your plan. Texts come with Standard and above. If you're on Free, the Texts link in your menu shows a little lock. Next, open Texts and look at Your text balance. If it says zero, buy a bundle, and the texts start again. Then look under Which texts to send. Make sure the type you expected is ticked, and press Save. Now scroll down to Recent texts. The status column shows whether each one was sent, and if it wasn't, why not. Last, open the booking. The phone number has to be a valid UK number, because texts only go to UK numbers for now. If your balance runs out, texts stop but emails carry on, and Tablez emails you when you're down to ten texts. Texts are on the Standard plan and above. Start free at tablez.co.uk.

Your plan stays on until the date shown on your Plan and billing page. If there's no renewal, you move to the Free plan, up to 60 bookings a month. Things that need a paid plan switch off, like texts, deposits and the floor plan. Nothing is deleted. To keep or restart your plan, open Plan and billing under Account. Gone over your monthly booking limit? Don't worry, nothing gets cut off straight away. On the Free plan, every booking counts towards the limit, online, phone and walk in. On Standard and Pro, only bookings made online count, and phone and walk in bookings you add yourself are free. Your Plan and billing page shows how many you've used. The first month over, every booking goes through and we email you. The second month in a row, same again, with a firmer email. After two months over, online booking stops once you reach the limit. Guests are told your online booking is full for this month, and asked to phone you. Your diary, staff logins and existing bookings carry on, and staff can still add bookings by hand. Move up a plan and online booking switches back on straight away. There's no charge for going over, and no fee per diner. Start free at tablez.co.uk.

This page answers three questions. How many bookings have I used, when do I renew, and what does my plan include. Click Plan and billing in the left menu. It is for the owner only, so staff logins do not see it. The top box shows your plan, and a bar of how many bookings you have used this month. On the Free plan, every booking counts. On Standard and Pro, only online bookings count, and phone, walk in and bookings you add yourself are free. If you go over, everything still goes through. On a paid plan, you see your renewal date, the price and the subscription number. Payment is taken through PayPal. Below that is a list of every payment taken. Scroll down to What is switched on for you. Every feature has a tick, or a dash with the plan it needs. To change plan, pick a plan card, or use Contact us about upgrading. To stop the renewal, see the guide on changing or cancelling your plan. That is your plan page in Tablez. Everything about your plan is in one place.

The Account page is about you, not the venue. It holds your name, your password, and an extra lock on your login. Click Account in the left menu. Every login has this page, owner or staff. Edit your name if you need to. To change your password, type a new one, at least eight characters. Leave it blank to keep the old one. Then click Save. Your email is shown, but it cannot be changed here. Two-step login adds a six digit code from an authenticator app, as well as your password. It is recommended, and optional. Click Set up two-step login and follow the steps. Save your backup codes somewhere safe, they are only shown once. Owners also see a Delete your account box at the bottom. It closes your booking page straight away. If you only want to pay less, change plan instead. The Free plan never expires. That is your account page in Tablez. If you forget your password, use the forgot password link on the login page.
