Getting started
Setting up
What is Tablez?
A table booking system for independent restaurants, pubs, cafes, bars and hotels. You get a booking page at its own link, a website embed, a staff app that alerts your team, and rules for turn times and pacing. It is free up to 60 bookings a month. See features.
How long does set up take?
About ten minutes for venue details, opening hours, tables and turn times, then half an hour to put your link on Google, social and your website. You can take a booking the same day. The set up guide walks through every step.
Do I need a website?
No. Every venue gets a booking page at its own address, for example yourpub.tablez.uk, plus a QR code and a printable poster in the dashboard. Share it on Google, Instagram, Facebook, WhatsApp or the menu. If you have a website, embedding takes one line.
Can I try it first?
Yes. The live demo is a real booking page you can use right now, and the free plan needs no card. Sign up and you are on the free plan until you choose otherwise.
Can I move from another system?
Yes. Add upcoming bookings by hand in the staff app, which takes an hour at most for most venues, or send us your export and we will help. We have step by step pages for Quandoo, OpenTable, ResDiary and TheFork.
Bookings
Bookings and the booking page
What does the customer see?
Your name and logo, a party size picker, a colour coded calendar (green plenty, amber limited, red full, grey closed), time slots that fit, and a short form for name, phone and email. No account, no app, done in under a minute. Try the demo.
How are bookings confirmed?
Three ways, on every plan. Instant confirms on the spot if a table is free. Staff approved holds it as a request until someone accepts. Live check makes the customer wait a couple of minutes with a countdown while your staff get an alert, and you decide what happens if nobody answers. Details on the features page.
Can customers see how many tables I have?
No. They only see whether a day has room and which times work for their party size. Your table counts and layout stay private.
Can I keep tables for walk-ins?
Yes. Only add the tables you want bookable, and cap covers per service so you never book out the whole room.
How do turn times and pacing work?
Turn times are set per party size, so a couple gets 90 minutes and a table of eight gets longer. You can cap covers per service and per 15 minutes so the kitchen is never slammed. Large parties can optionally combine two tables.
What emails go out?
A confirmation with a reference and calendar file, a reminder the day before, and a manage link to cancel or change. On Starter and Pro the emails come from your own address. Reminders and easy cancellation are the biggest free win against no-shows; see the no-shows guide.
Can I take deposits?
Not yet. Deposits and card holds are coming soon and will show in your own currency. Until then, use staff approved mode and a phone call for large parties. Our deposits vs card holds article explains the trade-offs.
Does it do Reserve with Google?
Not yet; it is on our roadmap. You can put your Tablez link as the reservation link on your Google Business Profile today. See Reserve with Google explained.
What stops spam bookings?
Rate limits, a hidden honeypot, optional Cloudflare Turnstile, and a daily cap per phone number and email. Staff can mark no-shows so you see who to trust.
Staff
Staff app and alerts
Is there an app for staff?
Yes, a web app you install to the home screen from the browser on iPhone or Android, from the staff link in your dashboard. Nothing to find in an app store. Requests appear with a countdown and big accept and decline buttons, and a beep plays when something new arrives.
How do staff get told about a booking?
By email on every plan. On Starter and Pro, by push notification to every staff phone, even with the app closed. Free includes the owner plus one staff login; Starter and Pro have unlimited logins.
Can staff add phone bookings and walk-ins?
Yes, in a few taps. They sit alongside online bookings on the same list, and the customer gets the same confirmation and reminder.
Can staff decline a booking?
Yes, with a reason that goes to the customer in a polite email.
What if nobody answers a live check in time?
You choose: the customer is told politely to try another time, or the request is parked for you to deal with by email later.
Plans
Plans and billing
What does Tablez cost?
Free for up to 60 bookings a month. Starter is £5 a month, paid yearly as £60, for up to 150 bookings a month. Pro is £15 a month, paid yearly as £180, for up to 500. Groups and venues over 500 a month talk to us and are invoiced yearly. Full details on the pricing page.
Is the free plan a trial?
No. It is free for as long as you want it, with no card and no term. The differences from Starter are the 60 booking limit, email alerts rather than push, one staff login, a random address like 5434.tablez.uk rather than one you choose, and a small "Powered by Tablez" line.
Is there a contract?
Free has no term at all. Paid plans run for 12 months, paid up front. They renew yearly and you can cancel before renewal from your dashboard. A year up front is what keeps the price at £5 a month, and it means no card on file every month.
Are there per cover or per booking fees?
Never, on any plan. A full Saturday costs the same as a wet Tuesday.
What counts as a booking?
Any booking created in a calendar month, online or added by staff, except cancelled ones. Declined requests count because your team spent time on them. Party size does not matter.
What happens at my monthly limit?
Your booking page politely asks customers to phone instead for the rest of the month and you get an email. Staff can still add bookings by hand. Nothing is lost. Upgrade and it opens up straight away; the count resets on the first of the month.
Is VAT charged?
No VAT is charged at the moment. Prices are shown excluding VAT, and if that changes we will tell you before your next renewal.
Can I get a refund if I stop using it?
Paid plans are for a year. We do not refund part years unless the law requires it. Your paid features carry on until the end of the year you have paid for, then you drop back to Free. Try the free plan for as long as you like before paying.
Websites
Embedding and websites
How do I put the booking form on my website?
Paste one line of code where you want it: an inline form, a "Book a table" button that opens an overlay, or a plain iframe. The booking widget page generates the code for you.
Does it work with WordPress, Squarespace or Wix?
Yes, with no plugin. Instructions for WordPress, Squarespace and Wix, and it works on Shopify, Webflow, GoDaddy and plain HTML too.
What is my booking address?
Every venue gets its own subdomain. Free venues get a random code like 5434.tablez.uk; Starter and Pro venues choose their own, like yourpub.tablez.uk. Your dashboard also has a QR code and a printable poster for it.
How do I use it on Instagram and Facebook?
Put the link in your Instagram bio and story stickers, and set it as your Facebook page's action button. See booking links for Instagram and Facebook.
Will the embed slow my site down?
No. The script is under 4KB and loads after your page; the form loads inside its own frame and sets no cookies on your site.
Can I match my colours?
Set an accent colour and upload a logo in the dashboard. Both the booking page and the embedded form use them.
Worldwide
Outside the UK
Does Tablez work outside the UK?
Yes, anywhere. It is built in the UK, but set your venue's time zone and the booking page, emails and staff app all show local times. Any country, any address format.
Can I pay from another country?
Yes. Prices are in pounds sterling and cards from any country are fine; your bank converts at its usual rate.
Will deposits be in my currency?
Yes. When deposits launch they will be shown in your own currency.
Is the booking page in other languages?
The page has very little text and works in the customer's browser language for dates and numbers. Your own wording on the page and in emails can be in any language you like.
Data
Data and privacy
Who owns my bookings and customers?
You do. Export them as a spreadsheet whenever you like. We do not sell data, run a marketplace, or market to your customers.
Where is data held?
On servers in the UK, run by Kalchevo. If you are outside the UK, your data is transferred to the UK to provide the service. See the privacy policy.
What do you collect from diners?
Name, email, phone, party size, date and time, any request or allergy note, and the IP address of the booking to prevent abuse. Nothing else, and no advertising trackers.
How do I delete my account?
Ask us via contact and we will delete the account and its data. Diners can ask the venue to delete their details, or ask us if they cannot reach the venue.
Who is behind Tablez?
Kalchevo, a small UK web company, and it is built by people who run a pub. See about.
